Thank you for your interest in becoming a Sisterhood Circle or Host Site Coordinator with Gathering Hope! Our purpose in launching these programs is to equip individuals, groups, churches, or nonprofits with an avenue to support miscarriage & infant loss survivors in their local communities. When you become a Sisterhood Circle or Host Site Coordinator, you'll be able to maintain your focused efforts on the unique programming that you currently offer, while adding this meaningful and impactful experience for the women around you.

We’re excited to equip you with the necessities to host a Gathering in your area. Each Gathering Hope event, including Sisterhood Circles and Host Sites, follows a distinctive model developed through experience, prayer, and feedback from loss moms. The structure you'll receive reflects the intentional care and stewardship that have shaped Gathering Hope's ministry over time.


Why Sisterhood Circles & Host Sites Matter

For many loss moms, traveling to Texas for a Gathering simply isn't possible. Because we believe every bereaved mother deserves connection and support, we have developed Sisterhood Circles and Host Sites to create opportunities for loss moms to intentionally gather together, build relationships, and participate in the Gathering experience while remaining close to home.

We’re honored to partner with individuals and organizations who share our heart for serving loss moms and who desire to help us extend that mission to women who might otherwise miss the opportunity to participate. If that’s you, keep reading!

A Note About Partnership & Purpose

Sisterhood Circles & Host Sites exist to faithfully extend the mission of Gathering Hope by serving loss moms in local communities.

Because these programs, materials, training, event experiences, and resources were intentionally designed as part of Gathering Hope's ministry, they are not intended to function as opportunities to study, evaluate, research, or develop independent conferences, ministries, nonprofits, support programs, events, or organizational models.

Over more than a decade, we have invested prayer, experience, learning, and resources into developing these programs. We ask those who partner with us to do so with the shared goal of advancing Gathering Hope's mission rather than using the experience as a blueprint for separate initiatives or leveraging it to develop independent endeavors, organizations, or personal platforms.

We believe these resources are meant to be stewarded with integrity so they can continue serving loss moms and their families for years to come. We are grateful for every woman who partners with Gathering Hope to faithfully serve her local community. Together, we have the privilege of extending hope while stewarding this ministry with integrity.

New to Hosting a gathering? BECOME A SISTERHOOD CIRCLE COORDINATOR

For most first-time coordinators, a Sisterhood Circle is the best place to begin. As a Sisterhood Circle Coordinator, you’ll host loss moms in your home or other intimate venue. This option is thoughtfully designed to equip you with the essentials you need to bring loss moms together in a relaxed setting, with minimal setup required. You don't need an organization, a large volunteer group, or event-planning experience. You simply need a heart for loss moms, a welcoming place to gather, and a willingness to create space for women to connect.

Starting with a Sisterhood Circle also gives you the opportunity to experience the Gathering as a coordinator and learn what your community needs. Some coordinators choose to continue hosting intimate Sisterhood Circles year after year, while others explore becoming a Host Site.

The starting package for Sisterhood Circle is $129 and gives you access to the following:

  • Livestream link for Session 1, the worship & speaker session of the Gathering

  • A guide to the Gathering format & discussion guide

  • Landing page and a registration link for your Sisterhood Circle

  • Access to Gathering Hope Swag Shop

This option is exclusively available to those hosting 10 or fewer women, and it's a great fit for anyone who is new to hosting or someone who simply prefers to lead a smaller, more intimate group. If you anticipate more than 10 guests, you’ll need to register as a Host Site to ensure the appropriate level of support and resources for your event.


BECOMing A HOST SITE COORDINATOR

Bring the Gathering experience to your local community by hosting a hybrid Gathering for loss moms in your area. Host Sites are designed for larger Gatherings of 11 or more women and require significantly more local planning, volunteers, and coordination. Because of that, we strongly recommend that new coordinators begin with a Sisterhood Circle before considering a Host Site. In some circumstances, an established organization, church, ministry, or experienced coordinator may already have the infrastructure and capacity needed for a Host Site. We consider those opportunities individually through our application and interview process.

You'll receive personal guidance and direct communication with our team for troubleshooting or planning along the way. Equipped with a digital Host Site Kit, branding and ongoing encouragement, you'll have the tools you need to create a supportive and empowering environment right in your chosen venue. Host Sites create an interactive experience with the same authenticity, welcoming atmosphere, and attention to detail as our Texas conference site.

We highly recommend having a partner to walk with you through the planning process and can personally attest to how important it is to have someone by your side to ease the workload, spark creativity, and provide emotional support. This could be a trusted friend, fellow loss mom, or another volunteer who shares your heart for creating a safe, welcoming space for bereaved mothers.

The $499 Host Site fee gives you access to the following:

Q: What’s my commitment level? Is this a Gathering Hope chapter or an event-based role?
A: Gathering Hope utilizes an event-based model, not an ongoing chapter system. As a Sisterhood Circle or Host Site, you’re offering a hybrid Gathering that coincides with our annual conference headquarters in Texas. It’s a powerful way to serve loss moms in your community without a long-term commitment. Many leaders love the Gathering experience and choose to host year after year.

Q: Do I need to purchase a Sisterhood Circle or Host Site Kit every year?
A: Yes, the fee is assessed every year. Hosting is approved on a year-by-year basis, through a signed Sisterhood Circle or Host Site agreement. Access to conference materials expires at the close of each Gathering and beyond your approved event, use of the Gathering Hope name, logo, or materials is not permitted.

Q: I already lead a nonprofit or ministry for loss moms. Can I still become a Sisterhood Circle or Host Site Coordinator?
A: Absolutely! We deeply value the incredible work being done to support loss moms and understand that many organizations meet this need in unique ways. Gathering Hope’s Sisterhood Circles and Host Sites are designed to expand the reach of our distinctive, prayerfully developed programming. Becoming a coordinator allows you to build on your existing efforts while adding a deeply meaningful experience that brings hope and healing to women in your community.

To preserve the consistency and authenticity of the Gathering Hope experience, we’ve outlined a few guidelines designed to protect our model and mission. We kindly ask that you honor Gathering Hope’s copyrighted materials, event structure, and branding, which are provided exclusively for use within the Gathering Hope framework. By partnering with us, you agree to host the Gathering Hope experience as designed, not to adapt or recreate it under another name or organization. By maintaining these guidelines, we protect the integrity and impact of the Gathering Hope experience, ensuring that every woman, no matter where she attends, encounters the same message of hope, healing, and community.

Q: Is the Gathering a free event? Can we charge our guests to attend?
A: This is up to you. You will have a landing/registration page through the Gathering Hope website, but if you choose to charge, you will need to provide an avenue for payment.

Q: What requirements are there to register as Sisterhood Circle or become a Host Site?
A:
You will need a venue that can accommodate the size of the Gathering you have in mind. You’ll also need a strong internet connection and a screen for viewing the livestream.

Q: How will women find my Gathering?
A: Sisterhood Circles and Host Sites have the option to include their public registration link on the Gathering Hope website, or you can keep the link private, only sharing it with specific people that you want to invite.

Q: Can I host a Sisterhood Circle or Host Site event at a different time or on a different day?
A: Sisterhood Circles and Host Sites are held on the same day and time as the national Gathering Hope headquarters event. While we understand the desire for flexibility, it helps our team to provide consistent technology access and content delivery for everyone. More importantly, unifying as loss moms across the country (and sometimes the globe!) is part of what makes this event unique, powerful and meaningful for so many women.

Q: Can I create my own Gathering Hope items or materials, like apparel or guest gifts, for my event?
A: You're absolutely welcome to create your own swag or gift items for your guests. We love seeing each location’s creativity and personal touches! Using our curated items from the Swag Shop is completely optional. However, if you’d like to use the Gathering Hope name or logo, the annual Gathering theme or logo, or any of our branded designs, these must be ordered through our official Swag Shop. Additionally, all Sisterhood Circle and Host Site Kit content and branding are copyrighted and may not be reproduced or customized without written permission.
